Organizing an Event to Remember: Three Key Aspects to Be Aware Of

A corporate event can be a great opportunity for many reasons, whether it’s strengthening professional relationships or simply celebrating a great year with a party. That said, if it’s your first time organizing an event like this, it can be pretty daunting: there’s a huge amount of stuff to get right, and the list will seem never-ending. 

In this article, you’ll learn about three of the most important aspects when it comes to planning a corporate event so that you can put on a day (or night) to remember!

Selecting the Perfect Venue

Getting the venue right is a tricky step. It’s one of the first things you should plan out, and right off the bat, you’ve got a lot of questions to answer. This is where data becomes most useful: design spreadsheets or lists for how many people are attending, as well as their food and drink preferences. You should also take a survey of what sort of event people are most interested in – if it’s a party, would the majority of your guests enjoy a more formal affair or fancy dress, for example, and should the event be held indoors or outdoors? Each of these answers points towards a certain venue.

If your event is focused on business matters more so than having fun, more of the organization should be based around ensuring the event accomplishes what it sets out to and choosing a venue to accommodate that (one with conference rooms, stages, and so on). 

Sound and Lighting

Another fundamental aspect to get sorted out once you’ve decided on the venue is the sound and lighting. There are many different ways sound and lighting can be arranged – if you have guest speakers, one priority is that they’re heard loud and clear during their talk; if you’re throwing a party, a properly calibrated sound and lighting system goes a long way in enhancing the overall experience. 

Some venues may have their own setups, but many don’t, in which case you’ll need to hire professional audio visual for events. These sorts of services offer the industry equipment required to adequately project sound and illuminate any type of venue, and they’ll help you organize the often complex logistics involved with setting everything up. 

Entertainment and Activities

The entertainment and activities you go with will differ depending on the type of event you’re organizing. If this is purely a business event, team-building exercises and networking slots may be a key element. 

So far as entertainment for a party, once again, it can be of benefit to take a survey on what people like most, and it’s key to consider the demographic. For example, will it be all adults attending the event, or are families with children welcome? If the latter is the case, you’ll need to make sure you account for the kids, too. Some forms of entertainment cross over, such as certain party games or karaoke.
